A well-written Request for Quotation is the foundation of a successful sourcing project. A professional RFQ gives Chinese suppliers the precise information they need to provide an accurate price — and it signals that you are a serious, organized buyer.
Product specification is the most important element of any RFQ. Be as specific as possible. Include dimensions, materials, finish, tolerances, applicable standards and any other technical parameters. For complex products, engineering drawings or 3D models are invaluable.
Quantity information should include both the immediate order quantity and, where possible, your annual volume forecast. Chinese suppliers typically offer better pricing for higher quantities, and understanding your forecast helps them plan production capacity.
Target price or budget range is often omitted from RFQs, but including it can be helpful. It allows suppliers to assess whether the project is viable and to propose alternatives if the target cannot be met at the required quality level.
Delivery destination and Incoterm requirements affect logistics costs and freight coordination. Specify your preferred Incoterm and delivery port or address. This allows the supplier to include freight costs in their quotation if required.
Quality and compliance requirements should be clearly stated. If you need specific certifications, test reports, inspection methods or packaging standards, include these in the RFQ from the start.
